How to build reliable network infrastructure for your office
The network is the backbone of every modern workplace. Slow internet, unstable Wi-Fi, computers that can't "see" the printer — all of these are symptoms of a poorly planned or outdated network infrastructure.
The good news: even for a small office with 5-15 employees, building a reliable network isn't rocket science — as long as you know what you're doing. This article is a practical guide.
Step 1: Assess your needs
Before you buy any equipment, answer the following questions:
- How many devices will be connected (computers, phones, printers, cameras)?
- Do you need Wi-Fi, and in which areas?
- Do you have specific needs — VPN, VoIP telephony, video surveillance?
- What internet speed do you have, and do you plan to increase it?
- Will employees work remotely?
Your answers determine what equipment you actually need.
Step 2: Choose the right router
The router is the central element of the network. For a small office we recommend:
For 5-10 users: A business router (MikroTik, Asus Business, TP-Link Omada) with VLAN and VPN support. Don't use cheap home routers in an office environment — they aren't built for constant load.
For 10-20 users: A firewall/router solution (pfSense, Fortinet) with better manageability and security.
Key features to look for:
- VLAN support (splitting the network into segments)
- VPN support
- Firewall functionality
- Quality of Service (QoS) for prioritizing traffic
Step 3: Structured cabling
A wireless network is convenient, but a wired one is more reliable and faster. For devices that need a stable connection — workstations, servers, printers — we recommend a wired connection.
Cabling recommendations:
- Use Cat6 cables (support up to 10 Gbps)
- Install network outlets at every workstation
- Organize cables in cable trays — don't leave them lying on the floor
- Route everything into a central patch panel mounted in a cabinet or rack
Step 4: Wi-Fi coverage
For an office with more than 2-3 rooms, a single router is almost certainly not enough. You'll need additional access points.
Recommended solutions:
- TP-Link Omada or Ubiquiti UniFi — centralized management of multiple access points
- Mount access points on the ceiling, not on desks or walls
- Set up a single roaming network for seamless movement between access points
Important: Split your Wi-Fi network into a staff network and a guest network — guests should not have access to internal resources.
Step 5: Network segmentation (VLAN)
Splitting the network into segments is one of the most important measures for security and performance:
- Workstations — the main network
- Servers and NAS — an isolated segment with controlled access
- IoT devices (cameras, printers, smart devices) — a separate segment
- Guest Wi-Fi — internet access only, no access to internal resources
If an IoT device gets compromised, VLANs limit the damage to just its own segment.
Step 6: Network security
Your network infrastructure needs to be protected:
- Firewall — filters incoming and outgoing traffic
- Strong passwords for Wi-Fi and admin interfaces
- Regular updates to the firmware of all network devices
- VPN for employees' remote access
- Monitoring — logging network activity for early detection of problems
Step 7: Backup internet line
For a small business, a 4G/5G backup line can save the day if your main provider fails. Many business routers support dual-WAN (two internet lines with automatic failover).
